What we hold, and what you can do about it.
Privacy · your rights · Collabill, a product of Idyetion Studio
Collabill generates invoices and keeps your record of them. We never touch the money: the payment details on your invoice are text we print, and brands pay you directly.
01What we hold
- Your account
- The email address you sign in with, and when you last signed in.
- Your billing identities
- The name, address, tax identifiers and payment details you chose to print on your invoices — plus the logo and signature images, if you added them.
- Your brands
- The names, contact people, addresses and tax identifiers you entered for the people you invoice.
- Your invoices
- Everything on them: the numbers, dates, descriptions and amounts, and the frozen copy of your details and the brand’s as they stood when you issued.
- Share activity
- When a share link was first opened and how many times, with the visitor’s address stored only as a one-way hash. We never keep a raw IP address.
We hold no card details and no bank credentials we could act on. We are the merchant of record for nothing except your own Collabill subscription, which our payment provider handles.
02Your rights
- Get a copy
- Settings → Your data → Download my personal data gives you a JSON file of everything we hold about you — your account, every issuer profile and brand in full, and a line for each invoice. It is free on every plan and available once a week. Settings → Your data → Export everything is the bigger one, on Pro: the same record plus every invoice line and a spreadsheet your accountant can open. Voided and draft invoices are in both.
- Correct what is wrong
- Your details and your brands are editable in Settings. An invoice you have already issued is not: it is a legal record, so a correction is a void and a reissue, and both stay on the record.
- Have it erased
- Settings → Your data → Delete your account removes your details, brands, invoices and files. It cannot be undone, and our nightly backups are pruned within seven days.
- Nominate someone
- The DPDP Act lets you nominate a person to exercise these rights if you cannot. Write to us and we will record it against your account.
- Complain
- If we have not dealt with a request properly, our grievance officer answers within 30 days. You may then escalate to the Data Protection Board of India.
