Something not working? Start here.
The things that actually go wrong, and what to do about each. If your question is whether the free plan is really free or whether we take a cut, that is on the questions page.
Invoices
- I sent an invoice with a mistake on it. How do I edit it?
- You cannot, and that is deliberate. An issued invoice is a record with a number in a legal sequence, so changing it after the fact would leave your brand holding one version and you holding another. Open the invoice, choose Void, give a reason, then choose Reissue — the fields are copied into a new draft and the old number stays on the record, marked void. Nothing is deleted and nothing is hidden.
- Why did my invoice number jump?
- Numbers are allocated at the moment you issue, not while you draft, so an abandoned draft never takes one. Numbers also belong to the invoice date rather than to today: back-date an invoice into last financial year and it takes that year’s next number. If your numbering restarts every January or April, each period keeps its own count. Settings → Numbering shows the exact number your next invoice will print.
- The PDF has not appeared.
- The document is rendered when it is first asked for, so the very first download of an invoice can take a few seconds. If Download still does nothing, the render failed rather than being slow — write to us with the invoice number and we will look at that render.
- Downloading on an iPhone opens a share sheet instead of saving.
- That is iOS working correctly. Safari does not reliably save a file from a link, so Collabill hands the PDF to the iOS share sheet, where Save to Files, Mail, WhatsApp and AirDrop are all offered. Choose Save to Files to put it in Files.
Getting paid
- How does a brand pay me through Collabill?
- It does not. Collabill never touches your money and has no way to. Your payment details are text we print on the invoice, exactly as you typed them, and your brand pays you directly by whatever route those details describe. Nothing passes through us, so there is nothing for us to take a cut of, hold, or lose.
- Does Collabill work out my GST or VAT?
- No, and it will not. A tax line on a Collabill invoice is a label, a rate and an amount that you entered, printed exactly as you typed them. We do not look rates up, derive them or check them. Your accountant does that; we print the document.
- Can I see my totals for two currencies together?
- No. Every figure is shown per currency, and nothing anywhere in Collabill adds two currencies together — we would have to pick an exchange rate and a date to do it, and any answer we gave would be wrong by the time you read it.
Your account
- I invoice for more than one person. Do I need more than one account?
- No. One account holds several issuer profiles — one per person or business you invoice as — each with its own details, design and numbering series. Settings → Add another profile creates the second one, and a switcher appears once there is more than one. Brands are shared across all of them, so you enter each brand once.
- Can someone else log in to my account?
- No. Collabill is one login per account, with no seats, roles or invitations. If you manage invoicing for several creators, that is what profiles are for — you hold the account, and you invoice as each of them.
- What happens to my invoices if I downgrade?
- Nothing is deleted, ever. Every profile stays visible and readable — invoices, history, figures — and you can still export. What changes is that new invoices can only be issued from your default profile until you upgrade again or archive down to the plan’s allowance.
- How do I get a copy of my data?
- Settings → Your data → Download my personal data gives you a JSON file of everything we hold about you, on any plan, once a week. Export everything, on Pro, is the bigger one: the same record plus every invoice line, and a spreadsheet your accountant can open. Both include voided and draft invoices.
Still stuck
Write to connect@idyetion.com. Tell us the invoice number if it is about one invoice — we can look at exactly that document, and it saves a round trip.
We answer within two working days (Mon–Fri, IST).
